Oracle ERP Requirements for Enhanced Collaboration | Austrian Gov Agency

The Challenge

An Austrian government agency needed to define requirements for a potential new Oracle ERP system to replace legacy systems, specifically targeting improvements in usability, operational efficiency, and seamless information flow (documents, media, data) between departments.

Approach & Execution

Project Overview

A large Austrian government agency initiated a project to potentially implement a new Oracle ERP system, aiming to modernize operations and significantly enhance inter-departmental collaboration through better integration of information.

My Role & Work Done

  • Consulting Team Lead: Led the external project team responsible for the requirements definition phase.
  • Workshop Facilitation: Organized and executed structured requirements elicitation workshops involving diverse stakeholders from multiple agency departments.
  • Requirements Documentation: Authored detailed functional specifications, non-functional requirements (usability, performance, security), and captured user feedback.
  • Legacy System Analysis: Conducted an in-depth analysis of the existing, complex SQL query matrix to map critical data dependencies, crucial for ensuring data integrity and stable reporting during a potential transition.
  • Stakeholder Communication: Served as the primary point of contact for communicating requirements, findings, and potential roadblocks to agency stakeholders.

Deliverables

  • Initial Product Requirements Document (PRD) outlining functional and non-functional needs.
  • Analysis report detailing user feedback and critical SQL dependencies.
  • Workshop summaries and stakeholder alignment documentation.

Solution Overview

Led the consulting project team supporting the agency. Designed and facilitated requirements elicitation workshops across multiple departments. Documented detailed functional and non-functional requirements, synthesized user feedback, analyzed complex SQL query dependencies in the existing system to inform migration planning, and ensured clear communication with all stakeholders.

Key Results & Impact

  • Delivered comprehensive early-stage product requirements documentation for the Oracle ERP initiative.
  • Provided a clear understanding of user needs, existing system complexities, and critical data dependencies.
  • Facilitated stakeholder consensus and alignment on key requirements for improved collaboration and efficiency.
